Equivalence World LDA — Version 2.0
Effective from: 29 September 2026
This policy explains what personal data we process, why we process it, how long we keep it, who we share it with and what you can do about it. It forms part of our Terms and Conditions.
It is written to be easy to understand. If anything is unclear, contact us at privacidade@equivalence.world and we will explain it.
1. Who is responsible for your data
The data controller is Equivalence World LDA, NIPC 518239861, with registered office at Av. Dom José I, 63, 2720-176 Amadora, Portugal.

2. What data we process, and when
When you create your account
Your email address, your password — which we store in encrypted form and cannot read — and your language.
When you build your profile
Your first and last name, date of birth, telephone number, country of origin, country of residence, professional sector, gender and, optionally, a photograph. We then process your education and professional experience, and the country or countries you are interested in.
Your CV
You can upload your CV as a PDF or enter your experiences manually. While you are preparing your request, the file remains in your browser: it does not reach our servers and we do not process it in any way. Only when you activate the service do we begin to process it, in order to identify your education and professional experience. We then show you what we have identified so that you can review and confirm it, and only the information you confirm is used in the assessment.
If you provide a link to your public LinkedIn profile, we process that link as information you have provided to us. We are not connected to LinkedIn and do not access your account.
Your photograph, if you upload one, is used only to display it in your private area and in your Profile. It is not used in the assessment.
When you pay
Your name, country of residence and the information required to issue your invoice. Payment is processed by Stripe: your card details do not pass through our systems and we do not store them.
When you use the website
Technical browsing data: IP address, device and browser type, pages visited, and date and time. We use this data to make the service work and keep it secure.
3. Why we use your data and our legal basis

The last two purposes depend on your consent: they are disabled by default and you can turn them on or off at any time in your account privacy settings. Withdrawing consent does not affect what we did before you withdrew it.
4. Sensitive information that may appear in your CV
A CV may sometimes contain sensitive personal information: about your health, origin, beliefs, trade union membership or political opinions.
We do not ask you for this information and we do not use it to assess your Profile. Our assessment analyses only your education and professional experience. If your CV contains this information because it forms part of your history, it is retained only as part of the document you provided and is not used as an assessment criterion.
If you prefer, you can upload a version of your CV without this information, or enter your experiences manually.
5. Data we generate about you
In addition to the information you give us, our service produces new data about you. That is precisely what you purchase. Specifically:
- Equivalence percentages between your education and references in the destination country.
- Classification of your experiences according to international occupation and skills standards.
- Institutions and organisations in the destination country that match your profile, and to what degree.
- Guidance and resources tailored to your situation.
This data is also your personal data: you can access it and ask us to correct it if it contains an error. You can download your Profile as a PDF from your private area as many times as you want.
6. How we assess, and the role of a person
To prepare your Profile, we compare your education and experience with our own matrices for the destination country, classify your experiences using international standards and calculate equivalence percentages. We use automated systems, including artificial intelligence models, to read your documentation, search for official information about the institutions and companies you mention, and draft explanatory text.
No Profile is delivered without a member of our team reviewing and approving it. The assessment is not a fully automated decision.
Our analysis does not make hiring decisions, does not grant or deny official recognition and does not replace the competent authorities in each country.
What you can do if you disagree
- Ask us to explain what we based the assessment on.
- Ask a member of our team to review the result.
- Express your point of view and ask us to update your Profile.

7. How long we keep your data

The PDF of your Profile that you have downloaded is yours and is not affected by these retention periods.
8. Who we share your data with
We work with providers that help us deliver the service: hosting, databases, document processing, artificial intelligence models, payments, invoicing and email delivery. They act on our instructions, under contracts requiring them to protect your data, and they may not use it for their own purposes.
We may also disclose your data to public authorities when required by law.
We do not sell your data, share it for advertising purposes or send it to employers. If in the future we offer a service that involves sharing your Profile with companies or organisations, we will ask you separately and you will be able to withdraw that permission at any time.
9. Where your data is processed
Your account, documentation and Profile are stored on servers located in the European Union.
Some providers that help us deliver the service are established in the United States. In those cases, we apply the safeguards required by the General Data Protection Regulation: the adequacy decision for the EU-U.S. Data Privacy Framework where the provider is certified, and in all cases the standard contractual clauses approved by the European Commission.
10. Improving our service
We use information derived from the Profiles we generate to improve the accuracy of our assessment methods and to measure the impact of our work. We work with aggregated data that does not identify you.
The legal basis is our legitimate interest in improving a service you have purchased and in being able to demonstrate its impact.
You may object to this use at any time by contacting privacidade@equivalence.world. You do not need to give us a reason and this does not affect the service you purchased.
11. Your rights
At any time, you can:
- Access the data we hold about you.
- Correct it if it is inaccurate or incomplete.
- Ask us to delete it.
- Restrict its processing.
- Take with you the information you provided to us — your CV, experiences and account data — in a structured, commonly used format so that you can reuse it elsewhere. This right applies to what you gave us, not to the analysis we produced from it: you can download your Equivalent Profile as a PDF from your private area.
- Object to processing we carry out on the basis of legitimate interests.
- Withdraw your consent where processing is based on consent.
Contact us at privacidade@equivalence.world from the address associated with your account. That is normally enough: we will not ask you for a copy of your identity document unless we have reasonable doubts about who is contacting us, and if we do ask for it, we will destroy it once your identity has been verified.
We will respond within one month. If your request is complex, we may extend this period by a further two months, informing you of the reason. Exercising your rights is free of charge.
If you believe we have not handled your request properly, you may lodge a complaint with the CNPD or the data protection authority in your country of residence.
12. Security
We apply technical and organisational measures to protect your data: encryption in transit and at rest, access controls limited to people who need the data for their work, and confidentiality obligations for our entire team.
If a security breach affecting your data occurs, we will notify the CNPD within 72 hours and notify you directly where there is a high risk to you.
No system is infallible. Help us protect your account: use a unique password, enable two-step verification and let us know if you notice anything unusual.
13. Minors
Our service is intended for people over 18 years of age. We do not knowingly collect data from minors. If we discover that an account belongs to a minor, we will close it and delete their data.
14. Changes to this policy
If we make significant changes to this policy, we will notify you by email at least 30 days in advance. We always publish the current version and its effective date.

Automated service emails are sent from team@communications.equivalence.world. Any legitimate email from us comes from a domain ending in .equivalence.world. If you receive something claiming to be from Equivalence that does not meet this condition, do not click anything and let us know.
